Temporary Administrative Coordinator

Reports to: Chair of Visual Arts
Department: Visual Arts
Hours/Week: 20 hrs/wk Temporary to June 2010
Wage: $12.00–12.80/hr
FLSA: Non-exempt

The administrative coordinator is a dynamic position dedicated to the academic journey of all Naropa University Visual Arts students, providing management of all aspects of the Visual Arts administrative functions. Emphasis is placed on delivering timely systematized administrative excellence including; the delivery of educational quality through budgeting, course scheduling, publications, program changes, policies, procedures and facilities maintenance.

Job Duties

Budgets:

  • Oversight, tracking, and allocation of instructional budget, operational budget, and work-study budget
  • Assists in the annual budget planning process

Course Scheduling:

  • Responsible for scheduling of courses, course changes and the accuracy of course information.

Reporting:

  • Reports on budgets, enrollments, retention and attrition.
  • Reports on timelines, scheduling and the flow of deadlines.

Supervision:

  • Supervises work-study studio caretakers.

Special Projects and Events:

  • Oversees special projects such as curriculum research, assessment, community
    building, etc.
  • Oversees technical equipment, computers and other Visual Arts–related research.

Publications:

  • Responsible for the revision of yearly publications such as the academic catalog, promotional brochures, web pages, posters, signage, letters, press releases and others relating to Visual Arts.

Technical Oversight:

  • Tracking and systematization of data in CARS, WebReg, Outlook, Excel, PowerPoint and Photoshop.
  • Manages the digital imagery collection and archiving.
  • Manages mailing lists and list servs.

Support:

  • Supports the chair of Visual Arts as needed including academic vision, curriculum assessment, enrollment strategies, budgetary functions, etc.
  • Supports Visual Arts faculty and students, assisting with WebReg, departmental approvals, orientation and training.
  • Supports Visual Arts functions, including ARTtank, the visiting artist program, gallery openings, faculty gatherings, student gatherings, etc.

Facilities:

  • Schedules all classes and events held in the Visual Arts studios and galleries.
  • Helps to manage maintenance of studio and gallery supplies and equipment.
  • Helps to manage security of studios including keys, lock box, and all aspects of security.

Liaison:

  • Acts as liaison to Academic Affairs concerning instructional budget, faculty contracts, and course scheduling
  • Acts as liaison to other departments, including Student Administrative Services, Naropa College advisors, Finance, Student Services, Facilities and other departments as needed.

Committee responsibilities:

  • Council of Academic Administrators (COAA): Responsible to contribute to the vision of an enlightened administration and to implement the vision into all decisions and duties and to provide excellence in the systematization of all Administrative functions university wide
  • Visual Arts Faculty Meetings: Responsible to support the chair in presenting issues as needed, taking and distributing minutes

Special projects

Support the chair of Visual Arts with special projects including:

  • Writing for and collecting images for the Naropa website. 
  • Curriculum enhancement.
  • Student and community involvement.

Qualifications:

  • Bachelor’s degree (in any field) required, Visual Arts preferred.
  • 3-5 years administrative experience required
  • Experience in higher education preferred
  • Intermediate to advanced knowledge of Microsoft Excel, Word, Outlook, PowerPoint and Explorer including the ability to create posters, post cards, email communications and list-servs and mailing lists
  • Ability to work independently as well as part of a team
  • Excellent social, networking and group leadership skills,
  • Excellent verbal and written communication skills
  • Attention and ability to organize many details and multitask
  • Ability to lift 50 pounds
  • Occasional evenings and weekends required
